Making AI meaningful in HR: A look back at our AI Co-Creation Workshop

For us, this day was far more than an opportunity to present new technological possibilities and ideas. The focus was on open dialogue with the people who use our HR software every day — and who therefore know best which challenges, expectations and requirements exist in practice.

We would like to thank all participants for that: for their time, their openness, their honest feedback and the many valuable insights.

Why we shape AI together with our customers

New technologies open up many possibilities. But not everything that is technically feasible automatically creates value. Especially in HR software, it’s crucial that new features solve concrete challenges, fit meaningfully into existing processes and remain understandable and reliable for users.

That’s why we didn’t want to look at the current AI innovations in Helix in isolation, as purely technological features. Together with our customers, we talked about where AI can meaningfully support HR work — and where human experience, judgment and decision-making remain indispensable.

Which tasks can be made easier by AI? Where do real time savings actually occur? And how much control do users need in their day-to-day use of AI?

This direct exchange helps us answer these questions early and to consistently develop Helix further based on the actual requirements of practice.

When is AI really useful in HR software?

A central focus of the workshop was the question of the conditions under which AI creates real value. For us, AI is useful when it supports users with concrete tasks, eases recurring work steps and makes relevant information more quickly accessible. It should not make processes more complicated, but fit into everyday work in a comprehensible way.

At the same time, it became clear: AI should not replace people’s individual judgment, experience and responsibility. Its value lies in supporting users and giving them more room for the tasks where human communication, judgment and decision-making matter most.

From concrete use cases to helpful features

The perspectives of our customers showed once again: an AI feature doesn’t convince through its technical capabilities alone. What matters is how well it integrates into existing workflows, how understandable its results are, and whether it solves a concrete problem. A feature can be technologically impressive — but if it offers no noticeable benefit in everyday work, it will rarely be used in the long run.

That’s why we talked together about which use cases are particularly relevant in everyday HR work. The experiences of the participants help us prioritize technological possibilities meaningfully and avoid planning past actual requirements.

For us, this means: we don’t want to integrate AI for its own sake. We want to develop features that genuinely help people in their work.

Quality, data protection and security as the foundation

HR systems process particularly sensitive personal information. Trust, transparency and responsible handling of data are therefore not secondary topics, but fundamental prerequisites for using AI.

Together, we talked about the expectations our customers have of secure and transparent AI features — from the traceability of results, to the quality of the information provided, to control by the users.

The open questions and feedback from participants were especially valuable to us. Because only when we understand requirements, uncertainties and possible concerns can we develop solutions that are innovative as well as responsible and practical.

Working together on a prompt library

The afternoon became especially concrete: in a joint workshop session, we worked intensively on developing a prompt library.

A prompt library is meant to give users an easy way in: instead of starting from scratch every time for recurring tasks, they draw on proven templates, adapt them to their situation and keep refining them.

Together with our customers, we worked out concrete use cases and possible wordings. The ideas and feedback that emerged give us valuable input for further developing the prompt library and the AI features in Helix.

What co-creation means for Perbility

For us, co-creation doesn’t mean presenting a nearly finished solution and then asking for feedback. It means listening early, asking questions, involving different perspectives and developing ideas together.

Our customers know their processes, challenges and everyday requirements best. Combining this knowledge with our product and technology expertise is an important part of Helix’s ongoing development.

The workshop showed once again how valuable direct, continuous dialogue is. It helps us realistically assess technological possibilities, identify meaningful use cases and develop features that are understandable, secure and genuinely helpful in everyday use.
